Overview

We need to create a template issue for creating TWE: Research: Interview Upload Form: Create (named in the format as TWE: Role: Direct Object: Action Verb) so that we have a consistent, transparent, defined, and self-supporting structure for people creating them.

Resources/Instructions: This section is at the bottom of this issue (scroll to the bottom to view it now). You will be asked to add links to this section while completing the issue.

Action Items

Customize this issue

  • Customize this issue by adding the Name of Issue Template.
    • Note: An issue template's name is different from the issue title created from the template.
    • Search for TWE: Research: Interview Upload Form: Create by using the browser search (Mac: ⌘+F; PC: Ctrl+F)
    • Replace the keyword string (including text and the brackets) below with the name of your issue template according to the template naming convention: TWE: Role: Direct object: Action verb
      • The role is the primary owner of the issue template (e.g., Research, Design, Product)
      • Direct object should be the item that we're updating or working on (e.g., Wiki, Interviews, Roadmap)
      • Action verb should be the main descriptor of the action items (e.g., Update, Create, Transcribe)

Customize the issue settings (located in right sidebar)

Change the issue settings to ensure the issue is properly categorized and easy to manage.

  • Under Assignees, assign yourself.
  • Under Projects, choose gear, choose Repository, and choose TWE Project Management.
  • Add the milestone: Project Management
  • Add a feature label specific to what the template is related to, if available. If not clear what you should use, ask product.

Customize template draft

Create a draft of new template, which will be known as our "draft".

  • Copy resource 1.01 Content to copy for draft to a new comment on this issue.
  • In your draft, fill out the top part (called front matter) with the following information. See resource 1.02 Front Matter Resources section below for definitions and examples.
    • Name
    • About
    • Title
    • Labels
  • Define any Dependencies (or remove the dependency section if there is no dependency)
  • Customize the Overview section
  • Fill out the Action Items section (in your draft) by defining the steps that are required to be done, keeping the following in mind:
    • The person working on this issue might be new to the org, so the issue should be able to be worked on without any prior knowledge
    • If the person needs to add links, or put documents in specific locations, the place where they can do that action must be linked in the resources section
      • The links in the resources section provided by the issue creator should be in the same order as the Action Items

Overview

We need to create a new form to upload the recordings made for RP[Replace 000].

  • UX lead asks admin to add the team member working on this issue to the 1Password internship-UX's vault
  • UX lead adds the assignee to the Internship - PII's "My Drive" as a Contributor so that they have access to internship - PII's My Drive where the recordings and transcriptions with PII are stored.

      5. Under "Other profiles", choose "+ Add"
      6. A "Set up your new Chrome profile" window will pop up. Choose "Sign in"
      7. Copy and paste the [email protected] login info from 1password vault to set up your new profile. Resources # 1.04.01 has step-by-step instructions to guide you through this.

    2. Open a new browser tab in the [email protected] browser window
    3. Paste the link into the address bar
  • Choose the Use Template button
  • A message that says Missing File Upload folders pops up again, choose Restore create a destination folder for the file uploads Restore
  • A Folders restored successfully notification should flash at the bottom of the window
  • Move the form you just created into the TWE: IS[Replace YY]: RP[Replace 000]: [Replace TYPE OF PARTICIPANT] [Replace TYPE OF INTERVIEW] Interview Recording Uploads Temporary Folder by completing the following steps

Customize the Recording Upload Google Form for RP[Replace 000]

  • In the Google Form's body text of "Finishing up: Sending your recording to TWE team" section, complete the following edits:
    • Copy
    RP[Replace 000]-U000-[Replace PARTICIPANT CODE]000
    
    • Paste the copied text to replace **_RP[Replace 000]-UX Researcher Abbreviation###-[Replace TYPE OF PARTICIPANT] Abbreviation###_** (see the highlighted texts in the screenshot below) Screenshot 2023-01-17 at 4 46 59 PM
    • Make sure the text you just copied are in bold and italic in the Google Form
    • Choose [Replace TEMPLATE: Interview Roll Call and Session Table] in the google form, and choose on the pencil icon that popped up to edit link Screenshot 2023-06-19 at 6 44 11 PM
    • Copy the URL from Resource # 2.03
    • In the "Link to" section, paste the link you just copied
    • Copy

    • In the "Text to display" section, paste what you just copied into the line
    • Choose "OK"
    • Make sure the texts of the roll call and session table has been updated
    • Click through the link to the roll call and session table and make sure it directs you to the updated roll call and session table for RP[Replace 000]

    3. [Replace PARTICIPANT CODE]### (An example: Intern No. 2 is I002)
    
    • Paste what you copied into question 3 to replace the original texts so researchers could understand they need to provide the participant number web using this form to upload the video recording
  • Go to the Settings tab at the top of the Google form
    • Under the Responses section, choose "Verified" as the drop-down answer to the Collect email addresses setting so we know who the sender is
    • Make sure to toggle off the Restrict to users in Hack for LA and its trusted organizations option. Color gray means off.
  • Choose Send button (upper right of the window)
  • Choose link
  • Check the Shorten URL box, then choose Copy
  • In Resources # 2.06, add parentheses () at the end of the line with no space in between the right bracket ]
  • Place the link you just copied between the parentheses so it turns into a hyperlink
  • Choose "Update comment" in Github and make sure all the checkboxes above have been checked

Edit Response Destination

  • Choose Responses tab at the top of the Google form

      2. Choose "Share"
      3. Choose "Copy link"
    • In Resources # 2.07, add parentheses () at the end of the line with no space in between the right bracket ]
    • Place the link you just copied between the parentheses so it turns into a hyperlink

Rename the restored folder for receiving recording uploads in the TWE: IS[Replace YY]: RP[Replace 000]: [Replace TYPE OF PARTICIPANT] [Replace TYPE OF INTERVIEW] Interview Recording Uploads Temporary Folder

  • Open TWE: IS[Replace YY]: RP[Replace 000]: [Replace TYPE OF PARTICIPANT] [Replace TYPE OF INTERVIEW] Interview Recording Uploads Temporary Folder (Resources # 2.05) if it is not open
  • Locate the folder you restored
    • The name of the restored folder should be Finishing up: Sending your recording to TWE team (File responses) in the drive
  • Copy
    TWE: IS[Replace YY]: RP[Replace 000]: [Replace TYPE OF PARTICIPANT] [Replace TYPE OF INTERVIEW] Interview Recording Upload Form (File responses)
    
  • Right-click on the restored folder Finishing up: Sending your recording to TWE team (File responses), and choose Rename
  • Paste the texts you copied into the text box, and apply OK
  • Update the receiving folder link in Resources # 2.08
    • Choose the 3 vertical dots on the right side of the folder Screenshot 2023-09-12 at 6 07 08 PM
      1. Choose "Share"
      2. Choose "Copy link"
    • In Resources # 2.08, add parentheses () at the end of the line with no space in between the right bracket ]
    • Place the link you just copied between the parentheses so it turns into a hyperlink
  • Choose "Update comment" in Github and make sure all the checkboxes above have been checked off
  • Sign out of the [email protected] Google account

Update Research Plan Wiki Page

  • Open Wiki: Research Plan [Replace 000] (Resources # 2.01)
  • Choose "Edit" to edit the wiki page
  • Find the "Interview Recordings & Transcripts" section
  • Add a new line and insert a dash "-"
  • Copy and paste Resource # 2.06 (both the text and URL) at the end of this new line
  • Choose "Save Page"
  • Open the Google drive folder RP[Replace 000] (Resources # 2.02)
  • Check that TWE: IS[Replace YY]: RP[Replace 000]: [Replace TYPE OF PARTICIPANT] [Replace TYPE OF INTERVIEW] Interview Recording Upload Form IS NOT saved in this folder
  • Review with UX Lead
  • Product sign-off
  • UXR Lead or PM removes the assignee from the Internship - PII's My Drive if the issue has been reviewed and the deliverables are approved
  • When closing this issue, UX lead or PM needs to create a new issue to track the receival of all the video recordings in the temporary folder (Resources # 2.05) in [email protected]'s My Drive once the interviews are conducted.
  • After all the recordings are uploaded into the temporary folder, UX Lead or PM needs to move the recordings to TWE: IS[Replace YY]: RP[Replace 000]: [Replace TYPE OF PARTICIPANT] [Replace TYPE OF INTERVIEW] Interview Recordings folder (linked in Resources # 2.04) in internship - PII's My Drive for data privacy compliance.

@priyatalwar This issue has been tested, but it might needs revisiting since template goes out of date super fast. I am moving this to prioritized backlog.

@sunannie27 The template has passed the second testing, see #440. I've updated the template based on the latest feedback, and it is ready for product to test.
